Acceptable Use Policy

1. Permitted Uses

You may use the Service to:

  • Manage your dietetic or nutrition practice and client caseload;
  • Record client consultations, progress, and professional notes;
  • Generate AI-assisted meal plans, progress reports, client emails, and menu analyses for review and professional use;
  • Store and organise documents relating to your practice.

All use must be for lawful professional purposes and in compliance with applicable law, including UK GDPR, the Data Protection Act 2018, and any requirements of your professional body.

2. Data Protection Responsibilities

2.1 Lawful Basis

You must have a lawful basis under UK GDPR for all personal data you enter into the Service. Health data is special category data and requires explicit consent or another Article 9 condition in addition to a lawful basis under Article 6.

2.2 Client Notice

You must ensure your clients are informed that their data is processed using NutriFind. You can reference our Privacy Policy in your own client privacy notice as evidence of your data processor obligations.

2.3 Data Minimisation

Enter only the data necessary for the professional services you provide. Avoid entering data about third parties (e.g., family members mentioned in consultations) unless strictly necessary.

3. Account Security

You must:

  • Keep your password secure and not share your login credentials;
  • Log out when using shared or public devices;
  • Enable any two-factor authentication options we offer when available;
  • Notify us immediately at contact@nutrifind.ai if you suspect unauthorised access to your account.

You are responsible for all activity that takes place under your account.

4. AI Tools — Special Rules

4.1 No Client Identifiers in AI Inputs

When using AI Tools (meal plan generation, progress reports, client emails, menu analyses), you must not include any information that could directly identify a client in free-text fields used as AI input. This means you must not enter:

  • Client names or initials;
  • NHS numbers or other health identifiers;
  • National Insurance numbers;
  • Postcodes, addresses, or other precise location data;
  • Any other information that, alone or in combination, could identify a specific individual.

Our AI provider processes the text you submit. By keeping inputs anonymous, you ensure no identifying health data is transmitted to third-party systems without appropriate safeguards.

4.2 Professional Review Required

AI-generated content is a draft aid for your professional judgement. You must review all AI outputs before using them clinically or sharing them with clients. You are solely responsible for the clinical accuracy and appropriateness of any advice, plan, or document you provide to clients.

4.3 No Autonomous Clinical Decisions

Do not use AI Tool outputs as a substitute for professional clinical assessment. AI outputs are not a diagnosis, a prescription, or a substitute for professional dietetic advice.

5. Prohibited Conduct

You must not use the Service to:

  • Process personal data without a lawful basis or in breach of data protection law;
  • Deliberately enter client names or direct identifiers into AI free-text fields;
  • Upload or store any content that is unlawful, defamatory, or infringes a third party's intellectual property rights;
  • Attempt to probe, scan, or test the vulnerability of the Service or any related system;
  • Attempt to reverse-engineer, decompile, or extract source code from the Service;
  • Use automated tools, bots, or scrapers to access or interact with the Service;
  • Circumvent or attempt to circumvent any access controls, credit limits, or subscription restrictions;
  • Misrepresent your professional qualifications or registration status;
  • Use the Service for any purpose that is misleading, deceptive, or harmful to clients.

6. Consequences of Breach

If you breach this policy, we may take any of the following actions without prior notice:

  • Issue a warning;
  • Temporarily suspend your account;
  • Permanently terminate your account without refund;
  • Report your conduct to your professional regulatory body or to law enforcement where required.

We will use reasonable judgement in deciding which action is appropriate and proportionate.

7. Reporting Concerns

If you believe another user is breaching this policy, or if you discover a security vulnerability in the Service, please contact us at contact@nutrifind.ai. Please do not publicly disclose security vulnerabilities before giving us reasonable time to investigate and remediate.

8. Changes to This Policy

We may update this policy from time to time. We will notify you of material changes by email or in-app notice. Continued use of the Service after the effective date of an update constitutes acceptance of the revised policy.
